    1. Introduction







The National Archives and Records Administration (NARA) is an independent Federal agency that helps safeguard and preserve our nation's history by overseeing the management of all Federal records.





NARA issues this Request for Information (RFI) to obtain technical information about commercially available wide format scanners.





This RFI is intended strictly for market research. It is issued for information and planning purposes only and does not constitute a solicitation. Potential solutions presented may or may not lead to a solicitation. Any decision to proceed with a solicitation would be based, in part, on available funding.






  1. Description/Objective





Large Format Scanner



Quantity: 7



WideTEK 44” Wide Format Scanner (WT44-600-BDL-0) and Batch Scan Wizard Software (BSW-WIDETEK) (Brand Name ONLY)

Minimum Requirements



Speed



Must have scanning speeds for 24-bit color and black and white of 11.2 inches per second for 200 ppi and 7.5 inches per second for originals scanned at 300 ppi.





Software





Batch Scan Wizard Software:




  • Must enable batch scanning

  • User can adjust brightness, contrast, color mode or file format

  • Scan in sRGB and Adobe RGB.

  • Include functions to allow for auto deskewing and cropping actionsCreate custom job templates with specific scanning parameters, file naming conventions and directory locations.

  • Includes auto naming capabilities

  • Creates multi page PDFs and TIFFs

  • Can produce multipage PDF (PDF/A) and TIFF, JPEG, JPEG 2000, PNM, PNG, BMP, TIFF (Raw, G3, G4, LZW, JPEG), AutoCAD DWF, JBIG, DjVu, DICOM, PCX, Postscript, EPS, Raw data





Control Features



Must have transport rollers that serve as pressure points to ensure safe document transport for fragile originals.



Makes custom templates (jobs) with specific scanning parameters, file naming conventions and directory locations.

Scanners must produce these file formats: Multipage PDF (PDF/A) and TIFF, JPEG, JPEG 2000, PNM, PNG, BMP, TIFF (Raw, G3, G4, LZW, JPEG), AutoCAD DWF, JBIG, DjVu, DICOM, PCX, Postscript, EPS, Raw data





24 bit color, 8 bit grayscale, bitonal, enhanced halftone





Image Control



Must have an optical resolution of 1200 dpi x 1200 dpi, and a maximum resolution of 9600 dpi





The camera sensor must have the following:




  • 4 Tri-Color CCD cameras, 90,000 Pixels, encapsulated and dustproof.

  • Embedded for sRGB, Adobe RGB and native, with option for individual profiling.

  • Capability to send scans directly to folders, USB, Email or Cloud destinations

  • Must be FADGI AND ISO 19264-1 compliant

  • Scan in color, black and white, and grayscale

  • Color depth: 36 bit color, 12 bit grayscale

  • Output: 24 bit color, 8 bit grayscale, bitonal, enhanced halftone

  • Compatible with scanning software that can operate on a 64-bit Windows 10 operating system

  • Has auto format size recognition

Briefly describe your company, products and services, history, ownership, financial information, and other information you deem relevant. Respond only if you can provide the total solution. Indicate whether your product solution is on the General Services Administration Federal Supply Schedule or other Governmentwide Acquisition Contract (GWAC). Please include substantive responses to the following questions:










      1. Confirm you are registered in SAM and if you can provide the NAME BRAND PRODUCT.

      2. Provide feedback on our specifications if offering an alternate product. If offering an alternative product confirm it will meet all requirements in para 2. Specifically confirm an alternate product offered includes CCD technology vice CIS.












    1. Format







RFI responses are limited to a total of one (1) page and must be in Microsoft Word format.



Supplemental product brochures or marketing materials outlining specifications and capabilities may also be submitted, and will not be counted in the overall page count limits.








    1. Due Date







Each RFI response should be e-mailed to the Point of Contact listed below. The subject of the email should be "WIDETEK Wideformat Scanner Response". Responses to this RFI should be received by 4:00 PM ET on 8/22/2023. Responses submitted after this date and time will not be accepted. Firms submitting via e-mail are cautioned to confirm receipt of response as the e-mail will need to pass through IT security.








    1. Questions







Questions regarding this RFI shall be submitted in writing via email to the Point of Contact listed below by 8/18/2023. Verbal questions will not be accepted.

This RFI is issued for information and planning purposes only and does not constitute a solicitation. The Government does not intend to award a contract on the basis of this RFI or to otherwise pay for information received in response to this RFI. Responses to the RFI will not be returned. Information provided in response to this RFI will be used to assess tradeoffs and alternatives available for determining how to proceed in the acquisition process and may lead to the development of a specification. Responders are solely responsible for all expenses associated with responding to this RFI.
