Description

The New Jersey Army National Guard is seeking venue space to hold several Yellow Ribbon events in December 2023 and January 2024. Interested vendors may submit their location, capabilities, and dates available based on the information provided below. This is not a Request for Quote.



Event 1:



a. Date – 06JAN2024



b. Location – 30 mile radius from Camden County



c. Headcount – 1020 Adults



d. Requirements:



i. Main area for briefings to hold 1020 PAX.



ii. Breakout area to hold 510 PAX.



iii. Feeding area for 1020 PAX plus children.



iv. Separate area for Childcare for 50 PAX.



v. AV Equipment to include at least two screens, projectors, podium, and microphone/speaker to project to entire audience.



vi. Enough parking spaces for audience and vendors.



vii. Pre-function area for registration.



viii. Area for vendors to set up at least 14 resource tables.



Event 2:



a. Date – 02DEC2023



b. Location – 30 mile radius from Morris, Essex, or Union County



c. Headcount – 788 Adults



d. Requirements:



i. Main area for briefings to hold 788 Adults.



ii. Breakout area to hold 394 PAX.



iii. Feeding area for 788 PAX plus children.



iv. Separate area for Childcare for 40 PAX.



v. AV Equipment to include at least two screens, projectors, podium, and microphone/speaker to project to entire audience.



vi. Enough parking spaces for audience and vendors.



vii. Pre-function area for registration.



viii. Area for vendors to set up at least 14 resource tables.



ix. Food contracted to feed 788 PAX plus children (if at hotel).



Event 3:



a. Date – 09DEC2023



b. Location – 30 mile radius from Morris, Essex, or Union County



c. Headcount – 524 Adults



d. Requirements:



i. Main area for briefings to hold 524 Adults.



ii. Breakout area to hold 262 PAX.



iii. Feeding area for 524 PAX plus children.



iv. Separate area for Childcare for 26 PAX.



v. AV Equipment to include at least two screens, projectors, podium, and microphone/speaker to project to entire audience.



vi. Enough parking spaces for audience and vendors.



vii. Pre-function area for registration.



viii. Area for vendors to set up at least 14 resource tables.



ix. Food contracted to feed 524 PAX plus children (if at hotel).
